What is cloud technology?

Cloud technology provides any company, big or small, easy access to the latest business solutions cloud ymensavailable on the market, through Internet. Technically speaking, this is a high-performance IT infrastructure located in a data center. A data center can be defined as a dedicated secure space with servers permanently connected to the Internet and equipped with redundant connections and backup power systems. Such a data center can host companies’ data and information, so that they won’t need to have dedicated IT departments with their own servers.

There are several types of cloud services: “Infrastructure as a service” – is mostly used by technology companies that rent the hardware infrastructure to run their own operating platforms and handle maintenance and security issues; “Platform as a service” – is generally used by companies who prefer to rent a platform to run their own applications; “Software as a service” – the companies rent only the solutions they need to perform their activities.

Moreover, the cloud can be public, private or hybrid. The private cloud is a dedicated infrastructure within a company, managed by its IT department. The public cloud is available through a provider and it’s aimed at the general public. The SMEs, for instance, have access to a public cloud. Last but not least, the hybrid cloud concept can be defined by a partnership between a public cloud provider and a company, in which the latter partner benefits from a dedicated infrastructure.

Ymens is the cloud company providing “Software as a Service” solutions on a state of the art IT infrastructure with the highest security standards.

Any company has the possibility to rent only the solutions they need from Ymens, on subscription basis and pay a low monthly and deductible fee.

Thus, a SME can replace expensive software solutions - that require licenses for each user and periodical and costly updates - with online solutions that can be accessed by customers anytime, anywhere, through an Internet browser.

Anytime, anywhere, online

Cloud solutions allow users to work anytime, anywhere in the world by using a mere Internet connection. Regardless whether it’s a cable connection in a desktop computer, a wireless connection on a laptop or a 3G connection on a mobile phone, the SMEs dedicated solutions can be accessed anytime, anywhere.

In the case of a tight deadline, a user can work from his office, home or even in a taxi. Cloud solutions are accessible through an Internet browser. According to statistics, over 58% of US companies using such applications say that they enjoy the mobility offered by cloud solutions.

Security and integrity

One of the main advantages the cloud offers companies that use such solutions is that their data is safe and its integrity is very well protected.  User’s data security is one of the most important advantages offered by the cloud technology and is archived on multiple levels. On the physical level, the data center hosting the servers is permanently guarded and the access to servers is strictly limited to the IT security experts. Also, the room hosting the servers is continuously monitored.

At the IT security level, data is encrypted using complex algorithms. The server connection is very secure as well, so that nobody but the customer can access his company’s data. The access is granted through an username and a password, always through a secure connection.

In addition, the solution provides data backup. Unlike losses caused by companies’ own computers breaking down, there is no risk of losing the data, even if a server gets damaged. According to statistics, over 57% of US companies using cloud solutions believe they are safer than traditional, expensive methods.

Reduced costs

Cloud solutions eliminate network maintenance expenses a SME might have and reduce the need of a large IT department. By using online solutions, companies eliminate server maintenance costs along with electronic parts replacement expenses, so that servers can function at full capacity.

More than that, it also eliminates unplanned expenses caused by equipment breaking down.

At the same time, the cloud technology does not require installing any additional software and eliminates the necessity of paying for multiple, expensive licenses that must be paid in advance. Moreover, it is no longer necessary to buy software upgrades or to archive hard copy of documents.

Costs are always predictable and flexible. Thus, an user can be added or deleted at any time, as needed, which means perfect cost optimization and predictability.

Excellent integration

Just like expensive applications that include several office software programs, cloud solutions can also be purchased as packages. The major difference between the large number of traditional software programs and cloud solutions is that online solutions can be integrated in such a way to work together independent of one’s computer’s processor.

For instance, an intranet solution works flawlessly with a file management solution, sharing the same file.  A user that wants to open an intranet file will always have access to its latest version. Sharing is possible anywhere, anytime, directly from one’s computer, smartphone or tablet.

Customized solutions

Besides being intuitive and easy to use, cloud solutions are also flexible. Does an accountant need presentation software or are the spreadsheet and text editor enough for him? The cloud solutions offer applications that fit employees’ needs.

It is enough to know what everybody needs, without having to buy the whole package. Furthermore, it is possible to create customized solution packages for each SME. This eliminates unnecessary expenses, keeping costs under control.

Increased efficiency

A series of statistics from US and Europe show that working in the cloud increases employee productivity. In the European Union, figures show that 41% of the companies who have adopted cloud solutions have more productive employees.

This is due to accessing high-performance solutions that streamline workflows, both at individual and team level. This makes SMEs more competitive on the market, and their products are delivered faster.
